Process a Split Transaction Paid at Different Times

Use this guide when a customer pays part of their balance now and needs to pay the remainder at a later time. The first payment is collected and posted, and the open balance is saved so it can be completed when the customer returns or is ready to pay.

Split Transaction requires a specific permission. If the Split Transaction button is not visible, contact your DealerWorks administrator to request access.

Part 1 — Collect the First Payment

  1. 1 From the Process Transaction screen, click Split Transaction. Enter the specific amount the customer is paying now and click Confirm.
  2. 2 The payment screen reopens showing the split amount. Select the customer's preferred payment method and complete any steps for that method.
  3. 3 If your dealership requires it, enter an internal note explaining the reason for the split — for example, "Customer returning Friday to pay remaining balance." This helps anyone reviewing the record later understand the plan.
  4. 4 Click Process to complete the partial payment. A confirmation screen will display the remaining balance — review and click Confirm.
  5. 5 To defer the remaining balance, exit the payment processing screen and select Pay Later. The transaction will appear in Open Orders until the remaining amount is collected.

Part 2 — Complete the Remaining Payment

  1. 1 When the customer is ready to pay, navigate to Open Orders in the left menu, then select Split Transactions. Locate the transaction in the list.
  2. 2 Click the three-dot icon on the right side of the transaction row, then click Process.
  3. 3 Select the payment method for the remaining balance. Add an internal note if required by your dealership, then click Process to settle the remaining amount.
  4. 4 Once both payments are complete, print or email the split receipt to the customer, then click Finish & Close to return to the main dashboard.

Tips

  • Always add an internal note when deferring a balance. It helps your team understand the arrangement if a different cashier completes the second payment.
  • Open split transactions can be found under Open Orders → Split Transactions in the left navigation at any time.
  • The payment method used for the second portion does not need to match the first — any available method can be used.
