Start a payment on an order

Modified on Wed, Sep 30 at 4:21 PM

Every payment starts the same way — find the order, open the payment window, then choose how the customer is paying.

If your orders come from your DMS

  1. In the left menu, open General and click Process Transactions.
  2. Click the tab for your department.
You will only see the departments your dealership runs, and orders for one department will not appear under another.
  3. Find the order in the table. Type its number in the box under Invoice ID; it’s the fastest way.
Use the search bar at the top only if the order isn’t in the table or the amount looks out of date. It pulls a fresh copy from your DMS, so it takes longer.
  4. Check the customer name and the balance.
  5. Click the blue Payment button on that row.

If the amount has changed since the order was written, you may see a note telling you what it went from and to. Always check the amount shown against your DMS, and if it’s wrong, correct it before you take the payment.

Some dealerships can combine several repair orders into one order before taking payment. It’s a setting; your account administrator can ask us whether it’s on for your dealership.

If you enter orders yourself

  1. Open General → Process Transactions and click your department tab.
  2. If the tab shows a search box, click Manual Payment under No Order ID.
Some department tabs show the payment form straight away — if yours does, skip this step.
  3. Fill in the customer details, the order number and the amount.
  4. Click Receive Payment.

Then choose how they are paying

The payment window opens with a row of tabs across the top — terminal, keyed entry, cash, check and the rest. Which ones you see depends on what your dealership has turned on for your department.
