Most disputes at a dealership come from a handful of avoidable situations. The paperwork that wins a chargeback is the same paperwork that prevents one.
Where they come from
| THE SITUATION | WHAT HELPS |
|---|---|
| The customer did not expect the amount | An approved estimate before the work starts, and an itemised invoice afterwards. Complex pricing with no written agreement is the commonest cause. |
| Nobody can prove they agreed | A signature on the repair order or invoice — in person or captured remotely if they are not there. |
| The card was not really theirs | Read the card on the terminal rather than keying it in, and let the address and security-code checks run. |
| They asked you first and got nowhere | ⭐ Answer the call. A customer who cannot get a resolution from you goes to their bank instead. |
| They changed their mind | A refund and cancellation policy that was actually shown to them, and that you follow consistently. |
The habit that matters most
Keep the documents at the time, not when a dispute arrives. A signed order, a dated estimate and a clear invoice take moments to produce on the day and are almost impossible to reconstruct months later — which is when the chargeback turns up.
If a customer tells you they are going to dispute it
Try to settle it directly first. A refund you issue yourself costs you the amount. A chargeback costs you the amount plus the work of defending it, whichever way it goes.
