Add a New User to DealerWorks

Use these steps to create a login for a new employee. Only DealerWorks administrators with "User Management" permissions can add users.

Before you begin: You must be a DealerWorks admin. If you're not an admin, ask your manager to make this change or email support@dealerworks.io.

    From the left navigation, click Administrative, then select User Management.

    Click Add User.

    Enter the employee's name and email address, then assign their user type (Regular User for most staff; Admin for managers who need to manage other users).

    Set their permissions — at minimum, check the Departments they need access to (Sales, Service, Parts, etc.). Add Payment Types and Transaction Permissions based on their role.

    Save the profile. The employee will receive an email to set their password and log in.

Employee works at multiple locations?

Access is configured per rooftop — being set up at one store does not carry over to others. Contact support@dealerworks.io with the employee's name, email, and each location they need.

Password resets and locked accounts

Employees can reset their own password using the Forgot Password link on the login screen. If an account is locked after too many failed attempts, any DealerWorks admin can unlock it from Administrative > User Management.

Common questions

The new employee isn't receiving their setup email. What should we do?

Ask them to check their spam folder first. If it's not there, go back to their profile in User Management and confirm the email address is entered correctly. You can also contact support@dealerworks.io to have the invite resent.

An employee can't log in and Forgot Password isn't working.

The account may be locked after repeated failed login attempts. A DealerWorks admin can unlock it from Administrative > User Management. If the issue persists, contact support@dealerworks.io.
