DealerWorks uses a 4-digit PIN to secure dealership access. Your PIN is required to unlock a timed-out screen and to switch between users on a shared station. This article explains how PINs work, where to set them, and how to handle common situations.
How the Screen Lock Works
If a dealership has screen lock enabled, the DealerWorks screen will time out automatically after a period of inactivity. Once locked, you must enter your 4-digit PIN to return to the session. This prevents unauthorized access when a station is left unattended.
PINs are per user, per dealership. Each staff member has their own unique 4-digit PIN. If you are assigned to more than one dealership, you will have a separate PIN for each dealership you access. Your PIN is yours — it is not shared with a station or with other staff members.
Switching Users
When multiple staff members share a station, users can switch accounts without logging out. Click the Switch User button at the top right of the screen. A prompt will appear asking you to enter your PIN to access your account. This lets a different user take over the station quickly and securely.
The same 4-digit PIN is used for both unlocking the screen after a timeout and switching users. If your PIN isn't working in either situation, check whether your PIN has been set for that dealership — see the section below.
Where to Set or View Your PIN
You can view and manage your PINs from your account settings:
- 1 Go to Settings → Account Information.
- 2 Select the Pin Codes tab.
- 3 Your PIN Codes screen lists each dealership you are assigned to. Each dealership shows its own PIN status and two action buttons: Set PIN and Generate PIN.
A PIN must be set for every dealership you access. If your PIN Codes screen shows No PIN set next to a dealership, you will not be able to unlock a screen or switch users at that dealership until a PIN is created.
Setting or Changing Your PIN
From the Pin Codes tab, each dealership row has two options:
- Set PIN — manually enter a 4-digit PIN of your choice for that dealership.
- Generate PIN — let DealerWorks automatically create a 4-digit PIN for that dealership. Make note of the generated PIN — you will need it the next time the screen locks or you switch users.
Administrator: Resetting a Staff Member's PIN
Administrators can view and reset any user's PIN from User Management:
- Go to Administrative → User Management.
- Locate the user, click the three-dot menu (⋮), and select Manage PIN.
- From there, the PIN can be viewed or reset for that user.
Locked Out at the Screen?
If you are locked out and don't know your PIN:
- Check your Pin Codes in Settings → Account Information → Pin Codes from a different device or browser session.
- If you can't access Settings, ask your dealership administrator to look up or reset your PIN from Administrative → User Management → Manage PIN.
Station screen lock vs. web login: Being locked out of the station screen (PIN issue) is different from being locked out of your DealerWorks account (password issue). If you cannot log in at all from a browser, see the Login, Lockout, and Password Reset article.
