When the order has not reached DealerWorks yet and the customer is standing in front of you, you can type the order number and amount in by hand. The payment is still recorded against that number.
When to use it
- The order has not appeared in DealerWorks yet.
- The order shows $0.00, or an amount you know is wrong.
- You need to take a payment against an order number your DMS has not sent across.
Take the payment
- Go to General → Process Transactions and click your department tab.
- Beside the search box, under No Order ID, click Manual Payment.
The form opens above the order list. - Find the customer in Search Customers, or type a new name.
- Fill in the email address, the RO # and the amount you are collecting.
- Click Receive Payment, then take the payment as you normally would.
Type the order number carefully. It is how this payment gets matched to the order later, and a typo puts the money against the wrong number. Correcting it afterwards is a Support request — see Change the RO or invoice number on a transaction.
Two things to watch
- The form shows a Maximum Limit.
Your dealership sets it, per department. A payment above it will not go through this way — contact DealerWorks Support before you take it. - Enter the amount you are actually collecting.
On a manual payment there is no order to check it against, so nothing will catch a wrong figure.
