Match your deposits to the day's takings

The daily tie-out: what the payout report says reached the bank should account for what the DTR says you took on cards.

Start from the right number

Only card takings settle as a payout. Cash and checks you bank yourself, so leave them out of this comparison entirely.

Use the credit cards figure from the DTR’s grand total detail — see What is on the Daily Transaction Report.

Do the comparison

  1. Generate the DTR for the day and note the card total.
  2. Open Accounting → Payout Reports and find the payouts covering that day.
  3. Add up every payout, across every account.
    A day usually produces several — one per balance account.
  4. Compare the two.

Match department by department

If your dealership has a balance account per department, you do not have to reconcile the day as one lump. The DTR is already split by department and so are the payouts, so a discrepancy can be narrowed to one department before you start looking at individual transactions.

Why the two will not line up on the day

A day’s takings and that day’s payout are not the same thing. A payout is created after the day it covers, so money taken today is still in transit when you look this evening. Compare like for like, or you will chase a gap that is only timing.

When the numbers genuinely disagree

CHECKWHY
RefundsThey come off the day’s figure and are listed in their own section of the DTR, as negatives.
Every accountA department with its own balance account produces its own payout row. Missing one makes the day look short.
ChargebacksA chargeback is debited when it is filed, not when it is decided, so it can reduce a payout that has nothing else wrong with it.
The datesMake sure you are comparing a day’s takings against the payout that covers that day, not the payout created on it.
