Warranty on a repair order: both tabs show the whole balance

Modified on Mon, Oct 19 at 3:20 PM

When the warranty amount is included in the repair order total, take the customer’s part first, then the warranty part, until the balance is zero.

You can start with the warranty instead — the steps are the same, you just begin on the other tab.

Take the customer’s part

  1. Go to General → Process Transactions, click your department’s tab, then click Repair Orders.
  2. Find the repair order in the table.
Type the invoice number in the box under Invoice ID.
  3. Click Payment on that row.
  4. Click the pencil icon next to the amount.
  5. Enter the customer’s portion and click Save.
The Process button updates to the new amount.
  6. Select the payment method the customer is using, then click Process.
  7. Check the amount and any additional fee, then click Confirm.
  8. When it is approved, print or send a receipt if they want one, then click Done.

The customer’s payment now shows under Paid via RO, and the warranty amount is still outstanding.

Change the amount before you process. The window opens as the whole repair order, warranty included — leave it and your customer pays all of it.

Take the warranty part

  1. Click the Repair Order Warranty tab.
  2. Find the same repair order in the table.
Type the same invoice number under Invoice ID.
  3. Click Payment.
  4. A notice says the order already has a payment — the one you already took. Click Continue.
  5. Select Keyed Entry and type the card number for the warranty payment.
The amount is already set to the warranty balance that is left.
  6. Add a note so the payment is easy to find later. Some dealerships require one.
  7. Click Process.
  8. When it is approved, click Done.

If you don’t see Keyed Entry, it’s how your store is set up. Contact DealerWorks Support.

There is no additional fee on the warranty part, so this tab does not ask about one.

The repair order now shows the customer’s payment under Paid via RO, the warranty payment under Paid via Warranty, and a remaining balance of zero.
