Edit a cash or check transaction

Cash, check and similar payments are a record of money that changed hands, so the record can be corrected. A card payment can’t be — money actually moved. Either way the change is made by DealerWorks, not from your own screens.

What can be corrected on a cash or check payment

FIELDNOTES
Order numberThe RO, invoice or deal number — see Change the RO or invoice number on a transaction.
Date and timeWhen the payment was taken.
DepartmentAlso possible on a card payment — see Move a transaction to another department.
Payment typeCash, check and the rest. Not a card.
TotalThe amount of the payment.

Nothing else on the payment can be changed. The customer name cannot be changed from the transaction Edit dialog. If a customer name on a completed transaction needs correction, contact DealerWorks Support.

Card payments are different

A card payment can’t be corrected as a record, because the money really moved. Two things can still be changed:

Anything else on a card payment is a question for your own office staff, or a reversal — see Refund a payment.

Two things worth knowing

  • Correcting a payment doesn’t change who it’s credited to. The advisor on the transaction stays the same, so your cashier report is unaffected.
  • Every change is logged. The transaction shows who made the edit and what each field said before — see See what’s been changed on a transaction.
