Cash, check and similar payments are a record of money that changed hands, so the record can be corrected. A card payment can’t be — money actually moved. Either way the change is made by DealerWorks, not from your own screens.
What can be corrected on a cash or check payment
| FIELD | NOTES |
|---|---|
| Order number | The RO, invoice or deal number — see Change the RO or invoice number on a transaction. |
| Date and time | When the payment was taken. |
| Department | Also possible on a card payment — see Move a transaction to another department. |
| Payment type | Cash, check and the rest. Not a card. |
| Total | The amount of the payment. |
Nothing else on the payment can be changed. The customer name cannot be changed from the transaction Edit dialog. If a customer name on a completed transaction needs correction, contact DealerWorks Support.

Tell us which payment and what it should say, and we’ll make the change.
| FIND IT | Look the payment up first so you have the details in front of you. See Find a payment. |
| SEND US | The invoice or RO number the payment is under, the amount, and the date. If the number is the part that’s wrong, the amount and date are how we find it. |
| AND | What it should say instead. Exactly as you want it to read. |
Card payments are different
A card payment can’t be corrected as a record, because the money really moved. Two things can still be changed:
- The invoice or RO number — see Change the RO or invoice number on a transaction.
- The department — see Move a transaction to another department.
Anything else on a card payment is a question for your own office staff, or a reversal — see Refund a payment.
Two things worth knowing
- Correcting a payment doesn’t change who it’s credited to. The advisor on the transaction stays the same, so your cashier report is unaffected.
- Every change is logged. The transaction shows who made the edit and what each field said before — see See what’s been changed on a transaction.
