A lot of what you see in DealerWorks is set up for your dealership rather than fixed in the product. That is why your screens will not match another store’s — and why some things cannot be changed from inside your own account.
Set up for your dealership — ask us
These are held in your dealership’s configuration. They can absolutely be changed, but the request has to come to DealerWorks Support from your account administrator.
| WHAT | WHAT IT AFFECTS |
|---|---|
| Your departments | Which tabs you see when taking a payment, and how reports are broken down. |
| Which payment types you can take | Set per department, so one department can have a method another does not. |
| What those payment types are called | Your dealership can rename them, so your screen may not use the words an article does. |
| Whether an additional fee is passed on, and how much | See Why the card total is higher than the cash price. |
| Transaction and manual-payment limits | Set per department. See The payment is over the limit. |
| What your customer sees on a payment link | The disclaimer, the terms wording, whether a signature is asked for, and which payment options appear. See What your customer sees when they open the link. |
| How long a payment request stays valid | Seven days unless your dealership has asked for something different. |
| Whether a manager can waive the fee | See I can’t see the Bypass Additional Amount toggle. |
Yours to manage
Some things you control yourself, without contacting us:
- Who has an account, and what each person is allowed to do — see Change what someone can do.
- Your own PIN.
- The message that goes out with a payment request, which you can also edit one request at a time.
Changed only by us
The customer name on a transaction. There is no field for it, on any payment type, so nobody at the dealership can edit it — but it can still be corrected. Write in to Support with the invoice or RO number, the amount, the date, and what the name should say. It is not instant, because the change is made on our side.
Why a colleague’s screen looks different
Almost always configuration rather than a fault — a different department, a different permission, or a setting that store has and yours does not. It is worth checking that before assuming something is broken.
